THE CHALLENGE

When struggling nursing student Allorah Foote realized how outdated nursing school resources were, she decided to write the book — literally. She and her partner, Victor Foote, founded Nurse Well Versed in 2023 to arm future nurses with a colorful, concise resource that makes "nursing education make sense." After a year of hand-packing physical books, demand grew so fast the company brought on a fulfillment center — and its content built a following of hundreds of thousands of nursing students.

With fulfillment humming and a healthy affiliate program driving around 90% of sales, Nurse Well Versed was ready to scale. But there was no operations plan — or any other kind of plan. The business lived entirely inside its founders’ brains and a rag-tag assembly of content management systems, including a meticulously color-coded TickTick calendar, a few Apple Notes, and an overwhelming Google Calendar.

When the co-founders hired their first employee at the end of 2025, it was time to systematize the business and position it to grow.

The signs were everywhere, in their own words:

  • "We’re just at a point where we don't even know what we're all doing at once."

  • "It’s just so overwhelming right now because our tasks are kind of intertwined."

  • "I had 10 Google calendars. Ten."

  • "We had, like, 50 tasks in our to-do list, and after we looked at it, it was like, I don't even know what these are."

  • "We have a lot of nursing students that promote our book, but we do not have an organized system of outreach or tracking them."

  • "Every time I get to something, I'm like, ‘Oh, but first I have to figure this out in order to figure this out.’"

  • "We didn't really have a system for what we were doing. So we were just all over the place."

We actually had to cut how much content we're producing — only doing it once a week — because I just can't keep up. … We actually have a peer review team that was going to help us with script writing, but we just don't have enough time to train them. We just had a meeting last week where we planned out the rest of Q4: all the project tasks we need done, all the training, etc. … It would be more helpful if we did it consistently, but we never have time to do it consistently because we're always playing catch-up. It was completely chaotic. When [our new hire] came in, I don't think she understood how chaotic it was."

THE APPROACH

Nurse Well Versed took on ProcessDriven’s Foundations Guided program. Since just three people — one of whom was brand new — were managing literally everything from creating animations to customer service to filing trademarks, early conversations included delegation as well as operations.

The biggest hurdle? Paring down the unwieldy collection of content management and creation systems to a manageable hub that could track each and every business-related task.

"This just came at such a good time. It was such a good transition for when we were [making our first hire] to get an actual system for everything. [We began] understanding that the idea is to get 80 percent of your tasks to be ‘maintained’ tasks, so we're aware of what it is we're going to be doing that week. Then, we're not planning in a way that everything collapses. Now, we can see the holes in stuff — like, we need to hire someone here; we need to spend more time here — and then we just started organizing everything.

OUTCOMES

Nurse Well Versed hired ProcessDriven to help solve operations challenges, but it walked away with foundational roadmaps for marketing, hiring, content creation, and more. Plus, they developed a new way of "thinking in systems" that they'll carry with them for years to come.

Key wins during the engagement included:

  1. Set the foundation for delegation — moved 10+ hours of weekly tasks off the creative co-founder’s plate and gave the founders the mindset and prep to share the load.

  2. Consolidated the software stack — replaced 6+ overlapping tools (TickTick, Notion, Google Calendar, Google Drive, Apple Notes, and more) with ClickUp for tasks, knowledge, and content.

  3. Shifted from tasks to systems — moved from managing one-off tasks to running the business on predictable, recurring work, targeting 80% "maintain" tasks vs. 20% reactive.

  4. Streamlined meetings — from sporadic, random-time catch-alls to intentional, time-blocked sessions that favor quality over quantity.

  5. Overhauled email & calendars — replaced split Google Groups inboxes with Missive and eliminated 10 redundant Google calendars.

  6. Built an audience-to-buyer funnel — from copy-pasting old messages to one source-of-truth email marketing hub.

  7. Reworked content production — built in lead time so content wasn’t scrambled Sunday night for a Monday launch, and turned "someday" ideas into scheduled tasks.

  8. Mapped every process — designed and built a company-wide process map so the team understands the life cycle of each business-related task.

But the biggest aha moment? It was the realization that turning overwhelming initiatives into bite-sized tasks would allow the team to get so much more done. As they put it, "it really is sooo much better."

It just is, which is so nice.

Our [weekly] meeting that we have on Fridays, it's significantly reduced. We don't have to try to remember to do so many things to operate the business, which gives us more space to systematize things. Now, we're going into the realm of automating more things, we're growing the affiliates, we're setting things up, and it's just growing."

LASTING IMPACT

Nurse Well Versed’s co-founders admitted they were "very, very resistant" to a change of processes prior to signing on with ProcessDriven. There was more than a little worry about leaving behind TickTick and Google Calendar!

While it took some time to adapt to new ways of thinking, in the end, it was worth it. As they put it, "Really, three months isn’t that much time, if you think about it, for the lifespan of the business. Little by little, we made big shifts."

Now, it makes working in our business so much more enjoyable because we can focus on what we want to do.
