How to Use ClickUp and Integromat: Beginner Tutorial

In this tutorial, we’ll teach you how to use ClickUp and Integromat to automatically send complete ClickUp tasks to Google Sheets. While this is a simple example automation, you can ALSO use Integromat to automate all sorts of workflows using ClickUp — and it’s way more powerful than Zapier!

The example we’re working through today is building a content database inside Google Sheets to avoid the clutter of having a lot of Completed tasks inside ClickUp that could potentially become quite cluttered. This beginner tutorial is only the beginning, though.

Unlike Zapier, Integromat has the ability to integrate with ClickUp’s Custom Fields **and so much more** so the possibilities for automation are fairly endless!

Let’s dive in.

Why Use an Integration Tool?

In this example, we’ll be giving you a step-by-step and click-by-click walkthrough by actually setting up a scenario where we send a list of published videos from ClickUp into a spreadsheet that we have in Google Sheets.

While ClickUp really shines when it comes to production and collaboration on these tasks (tasks being the individual videos here), our goal here is to keep and manage this data as it becomes published – in one centralized location.

Rather than relying on ClickUp to house all of this data, we’re going to use Integromat to automatically transfer each task into a Google Sheet, as we wrap them up.

Now we know that ClickUp and Google Sheets don’t exactly integrate in the way we would need to in order to have this situation set up without having to incorporate any other tools

We can embed Google Sheets into ClickUp, but we can’t say, “hey, ClickUp automatically send this task into sheets as it’s published”. It’s just not possible natively. So when there is not a native integration option, meaning there’s not a built-in way to just connect the two with a click of a button, we need to turn to third-party tools – which in this case, is Integromat.

Integromat is an integration tool that connects two pieces of cloud technology together by sending information from one tool into the other tool. It basically acts as a middleman or a translator for the technologies that you’re working with. This can be really valuable because it prevents you from having to manually retype information from one tool into the next, and allows you to set up a connection that runs in the background, so you don’t even have to think about it.

Layla goes into detail as to why we chose to highlight integromat here starting at 3:08.

Creating Your First Integromat Scenario

For this example of moving closed task information from ClickUp into Google Sheets, we’re going to want to start by creating a new scenario. Integromat offers some great templates, but in this case we’re going to start from scratch.

Layla walks through exactly how to set up your first scenario starting at 05:59.

Watchers, Web Hooks and Mapping Explained

We’ll be honest, walking you through Integromat is a little tough to do by just simply explaining it here. While we are growing very fond of Integromat as we too continue to learn just how powerful this integration tool can be, there is a bit of a learning curve.

So rather than try to explain each step in long-drawn-out paragraphs, here are some timestamps you can use to jump to where you are in your Integromat scenario setup:

07:13 – “Watching Tasks” Explained

09:28 – Adding the Web Hook

12:29 – “Why is it only giving me the Task ID?”

13:20 – Mapping Explained

14:30 – Connecting gathered information to Google

18:49 – Narrowing down your triggers using Filters

21:51 – Using the Scheduling option to Automate

If you made it this far, congratulations! You just made your day-to-day so much easier by incorporating an awesome integration tool into your workflow.

This is how we can use Integromat to pull information out of ClickUp to get even more information based on that original information and then create a row in a Google sheet.

Now, as you might have seen as Layla went through this material, there’s a LOT more that Integromat can do!

We would love to cover Integromat in detail because not only is this a tool the ProcessDriven Team is working on mastering ourselves, we are also quickly realizing how useful Integromat could be for so many small businesses that we know follow our channel and posts.

So if you have a specific app or specific use case that you’re trying to build out in Integromat (or maybe you just want to brag about your own Integromat wins), let us know in the comments!

Until next time, enjoy the process.
